Help on DOTS
We want to ensure that our online systems work seamlessly with our clients. The following guide will assist you when getting to grips with logging in, entering your contracts and inputting your timesheets and expenses. Logging in

- This is where you need to input your username and password that you selected when you registered to use our services.
- If you ever should forget your password, simply click on the ‘forget password’ link which will automatically send a new password to your email address.

- Once logged in, you will come across the following Home page. From here you can either click through to ‘My Contracts’ or ‘My Profile’.
- If you have already registered AND approved you will have another option for adding timesheets.
My Profile

- The ‘My Profile’ page, details your personal, banking and payroll history. You can amend these details at any time.
My Contracts

- To add your contract details, click on the ‘add contract’ link found on the top left hand side.

- Once you’re at this stage, you will need to fill in all your contractual details.
- Once you have read, understood and agreed to our Contract of employment by checking the box, you simply need to press the ‘update’ button.

- Now that you have added a new contract, an automatic email will be sent to your agency/end client point of contact to approve the contract.
- Once we receive correspondence back from your agency/end-client to confirm the contract, you will see the ‘Action’ status change to ‘Approved’.
- Once approved, you will have access to input your timesheets and expenses.
My Time Sheets

- You may be at the point where you need to input a timesheet for the period you have worked. Simply click on the “Add New Timesheet” link found towards the top left of the screen.

- On this screen, you will be asked to confirm the end date for the timesheet. If for example your contract start date begins Thursday 12th November, your timesheet end date would be Sunday 15th November (assuming your working week runs Mon-Sun).

- When you reach this screen all you simply need to do is input the number of hours you have worked for each individual day.
- You can also input any overtime/nightly hours you have worked.
- Once you’ve input your hours, press ‘Update timesheet’.
- You now have to input any expenses incurred for this period. Simply click on the ‘Expenses for this period’ button.
Expenses

- When you reach this screen, all you have to do is input the expenses you have incurred relating to the timesheet.
- W e require you to enter the date that you incurred the expenses.
- Select from the drop down menu, the nature of the expense.
- We require a brief description of the expense from you. Here are some examples;
- Miles: Manchester to London Or FY8 to M15
- Subsistence: 5 days - out from home 10hours + X £14.00
- Accommodation: 5days X £45.00
- Simply fill in the total amounts (e.g. if claiming accommodation £45.00 for 5 nights, total amount would be £225.00)
- ‘Update Expenses’ (bottom left of screen) and click ‘Back to timesheet’.
- Finally, once you’re happy you’ve supplied us with all the required information, press ‘Submit timesheet and expenses for processing’.
